Privacy Policy

The mission of the Japan Society of Ningen Dock and Preventive Medical Care is to develop and advance the complete medical check-up (ningen dock) system. The wide range of activities that the Soeicty engages in includes the hosting of academic conferences, the publication of an academic journal, the provision of training for certified physicians and medical specialists for complete medical check-ups (ningen dock) as well as Complete Medical Check-up (ningen dock) Information Management Advisors, providing quality assessment for complete medical check-up (ningen dock) facilities as well as making studies on and statistics regarding complete medical check-ups (ningen dock) and its related areas available, and the designation and introduction of complete medical check-up (ningen dock) facilities to other organizations. At the same time, with a strong awareness of its social responsibility and a deep belief in the importance of protecting personal information during the course of these activities, the Society has established the policy for the protection of personal information outlined below.

1.The Society collects and uses personal information only within the range necessary for the above business operations. This includes the prohibition against the handling of  personal information beyond the extent necessary to achieve the purpose for which the personal information is collected (prohibition against utilization for other than the intended purposes), as well as the development of measures to ensure proper use.

2.The Society complies with all laws or guidelines issued by the government as well as with other regulations regarding the protection of personal information.

3.The Society takes necessary measures to prevent the leakage, loss, or damage of personal information.

4.The Society responds promptly to complaints and requests for consultations regarding the handling of personal information.

5.The Society continuously exerts maximum effort to improve the Personal Information Protection Management System.

Handling of personal information

1.Purpose of use of personal information
(1)Personal information of members

・To perform membership management, set up academic conferences, issue academic journals, train certified physicians of the Japan Society of Ningen Dock and Preventive Medical Care and Health Evaluation and Promotion Specialists, conduct complete medical check-up (ningen dock) facility assessments, train Complete Medical Check-up (Ningen Dock) Information Management Instructors and Dietary Improvement Instructors, Genetic Test Advisors, and deliver correspondence.

The Japan Society of Ningen Dock and Preventive Medical Care shall not offer personal information to third parties without the prior consent of the concerned individual except as indicated below:

3.Consignment of personal information
The Japan Society of Ningen Dock and Preventive Medical Care may outsource all or part of the handling of the personal information. In such case, it shall select an entity that meets the standards for protecting personal information and shall exercise necessary and appropriate supervision of contractors entrusted with the handling of personal information.

4.Request for the disclosure of personal information
To request the disclosure of personal information, please contact the following “Personal Information Protection Consultation Service Office.” The office will respond to your inquiries without delay according to the policy on the “Handling of personal information.”

5.Voluntary nature of the provision of personal information
The provision of personal information is voluntary. However, the above operations in the “Purpose for the use of personal information” may not be possible if the necessary personal information is not provided.

Measures taken for safe management of personal data that the business holds

(Establishment of Basic Policy)
To ensure the appropriate handling of personal information, we established the “Compliance with Related Laws, Regulations, Guidelines, etc.,” “Inquiry, Complaint and Consultation Service Desk,” and other basic policies.

(Development of Rules Regarding the Handling of Personal Data)
We developed rules for the handling of personal data governing methods of handling, managers as well as persons in charge and their assignments for each process in the handling of personal data, including acquisition, use, retaining, provision, deletion, disposal, etc.

(Organizational Personal Data Safe Management)

We assign a manager responsible for the handling of personal data, specify the employees authorized to handle personal data, and define the scope of the personal data handled by the relevant employees. We have also established an immediate reporting and liaison structure connected to the manager for instances in which actual violations or signs of violations of laws and rules for the handling of personal data are detected.

We conduct periodic self-inspections of the state of personal data handling as well as audits by other departments and external auditors.

(Personal Data Safe Management by Employees)

We hold periodic training for employees on important points in the handling of personal data.

We’ve entered into contracts on the confidentiality of personal data with each employee.

(Physical Personal Data Safe Management)

We take measures to prevent unauthorized individuals from viewing personal data through strict management of room access and the management of devices brought into any room in which personal data is handled.

We also take measures to prevent devices, electronic media, and documents containing personal data from being stolen or lost as well as measures to prevent data from being disclosed or from resulting in the identification of individuals when the relevant devices and electronic media are moved in- and outside of the office.

(Technological Personal Data Safe Management)

We employ an access control system to limit the range of personnel and the scope of personal information handled by personnel.

We have also implemented a system that protects the personal information database from unauthorized external access or the introduction of unauthorized software.

(Understanding the External Environment)
We do not provide personal data to third parties outside Japan.

Approaches to the protection of personal information

The Japan Society of Ningen Dock and Preventive Medical Care has been authorized to use the Privacy Mark.

※ The Privacy Mark indicates that the business operator has systems and appropriate measures in place for the protection of personal information. Authorization for use is granted after careful examination and certification by the JIPDEC, an auxiliary organization of the Ministry of Economy, Trade and Industry.
